FastReplySignature<\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-a9593dd elementor-widget elementor-widget-spacer\" data-id=\"a9593dd\" class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p>Managing an Amateur Sports Association (ASD) means taking care of sport, activities and people, but also handling a range of documents that need to be collected, organized and stored carefully.<\/p><p>A few days ago, we were contacted by an <strong>ASD, an Italian Amateur Sports Association<\/strong>, looking for a simple system to digitize two very common activities:<\/p><ul><li>the <strong>membership application<\/strong>;<\/li><li><strong>registration for events organized by the association<\/strong>, including any authorization for the use of photos and videos.<\/li><\/ul><p>The goal was to eliminate paper forms, documents being sent back and forth, and information scattered across emails, messages and folders.<\/p><p>The solution chosen was <a href=\"https:\/\/www.fastreplysignature.it\/en\"><strong>FastReplySignature<\/strong><\/a> for completing and signing documents online, combined with <a href=\"https:\/\/www.aquadivepro.com\/en\" target=\"_blank\" rel=\"noopener\"><strong>AquaDivePro<\/strong><\/a> for the operational management of members, membership fees, deadlines and medical certificates.<\/p><p><strong>Two different tools, used for two complementary needs.<\/strong><\/p><h3>\u00a0<\/h3><h3>What is an ASD?<\/h3><p>ASD stands for <strong>Associazione Sportiva Dilettantistica<\/strong>, an Italian Amateur Sports Association.<\/p><p>It is a type of non-profit association used to organize and carry out amateur sports activities.<\/p><p>However, an ASD is not simply a group of people practising a sport.<\/p><p>It must have articles of incorporation and bylaws that comply with the applicable regulations, establish clear rules for its operation and actually carry out amateur sports activities.<\/p><p>Among other things, the bylaws regulate how members participate in the association, its governing bodies, representation, its non-profit nature, approval of financial statements and the rules to be followed in the event of dissolution.<\/p><p>To obtain recognition of its amateur sports status, the association must also comply with the procedures established by the Italian sports system and the <strong>National Register of Amateur Sports Activities (RASD)<\/strong>.<\/p><p>For this reason, proper management of members and related documents is an important part of the day-to-day operation of an ASD.<\/p><h3>\u00a0<\/h3><h3>What are some of the main obligations of an ASD?<\/h3><p>Obligations may vary depending on the type of association, the sport practised, affiliation, the activities carried out and the possible presence of employees or collaborators.<\/p><p>However, some aspects frequently arise in the management of an ASD.<\/p><h4>Application for admission of new members<\/h4><p>Anyone wishing to become a member submits a <strong>membership application<\/strong> in accordance with the procedures established by the association\u2019s bylaws.<\/p><p><strong>It is important to make a distinction.<\/strong><\/p><p>Completing and signing an application does not necessarily mean that the applicant automatically becomes a member.<\/p><p>If the bylaws provide that the application must be reviewed and approved by the Board of Directors or another delegated body, the association must also complete this step.<\/p><p>FastReplySignature therefore makes it possible to <strong>digitize the collection of membership applications<\/strong>, but it does not change the association\u2019s rules established by its bylaws.<\/p><p>This distinction is precisely what makes the digital process simple without altering the way the ASD operates.<\/p><h4>Management of members and membership fees<\/h4><p>Once a member has been admitted, the association must be able to easily determine who belongs to the ASD and, where applicable, check the status of the annual membership fee.<\/p><p>Keeping this information up to date avoids relying on different Excel spreadsheets, notes, messages or manual checks every time information is needed.<\/p><h4>Medical certificates<\/h4><p>Depending on the sports activity carried out, it may be necessary to check that a valid medical certificate is available.<\/p><p>For competitive sports activities, the medical certificate required by law is mandatory; requirements also apply to non-competitive sports activities, with specific exceptions.<\/p><p>For an ASD, it is therefore very useful to be able to immediately check the <strong>expiry date of a medical certificate<\/strong> rather than relying solely on the memory of volunteers or administrative staff.<\/p><h4>Privacy and personal data protection<\/h4><p>An ASD normally processes various types of personal data relating to its members.<\/p><p>Some data may be particularly sensitive: health-related information, for example, falls within the special categories of personal data under the GDPR.<\/p><p>It is therefore important to collect only the information that is actually necessary, provide data subjects with the information required by law and correctly determine who may access the data.<\/p><h4>Safeguarding<\/h4><p>The obligations currently affecting the sports sector also include safeguarding requirements, introduced to prevent and combat abuse, violence and discrimination.<\/p><p>Affiliated ASDs must therefore also pay attention to organizational models, codes of conduct and other obligations established by sports regulations and by their respective affiliating body.<\/p><p>Digital document management does not, of course, replace the work of consultants, accountants or other professionals supporting the association, but it can make it much easier to apply the procedures defined by the ASD in practice.<\/p><h3>\u00a0<\/h3><h3>The ASD\u2019s need: digitizing the membership application<\/h3><p>In the specific case submitted to us, one of the first requirements was very easy to explain:<\/p><p><strong>How can we allow people to complete and sign a membership application without using paper?<\/strong><\/p><p>With FastReplySignature, the association can prepare its own application form and make it directly fillable online.<\/p><p>The prospective member receives the document through a link, which can be sent, for example, by email or WhatsApp or made available via a QR Code.<\/p><p>From a smartphone, the applicant can:<\/p><ol><li>enter the required information;<\/li><li>read the declarations included in the form;<\/li><li>review the information provided by the ASD;<\/li><li>complete any required fields or selections;<\/li><li><strong>sign directly on the screen;<\/strong><\/li><li>send the document to the association.<\/li><\/ol><p>There is no need to print the form, sign it by hand, photograph it or personally deliver it to the association\u2019s office.<\/p><p>The completed document remains available in FastReplySignature\u2019s digital archive and can be retrieved whenever necessary.<\/p><h3>\u00a0<\/h3><h3>FastReplySignature does not replace the admission procedure established by the bylaws<\/h3><p><strong>This point is worth emphasizing.<\/strong><\/p><p>FastReplySignature allows the ASD to collect the <strong>membership application signed online by the prospective member<\/strong>.<\/p><p>Actual admission must then follow the rules set out in the association\u2019s bylaws.<\/p><p>If, for example, the bylaws establish that admission must be approved by the Board of Directors, the ASD will continue to carry out this step.<\/p><p>Technology eliminates paper, repetitive steps and documents that are difficult to locate.<\/p><p><strong>It does not replace the association\u2019s governing bodies.<\/strong><\/p><h3>\u00a0<\/h3><h3>Event registrations without paper forms<\/h3><p>The same ASD also had another recurring need.<\/p><p>Throughout the year, it organizes events and activities for which members must register.<\/p><p>FastReplySignature can also be used in this case to prepare a specific form for each event.<\/p><p>The member receives the link, enters the required information, reviews the conditions of the activity and confirms participation.<\/p><p>This allows administrative staff to collect registrations in a more organized way and keep the related documentation easy to access.<\/p><p>The form can also include the declarations actually required for that particular event, avoiding the use of generic documents that are identical for every situation.<\/p><h3>\u00a0<\/h3><h3>Authorization for photos and videos during events<\/h3><p>During events, competitions, meetings and other sports activities, photographs and videos are very often taken.<\/p><p>The ASD in our case therefore also needed to manage this aspect as part of event registration.<\/p><p>With FastReplySignature, a specific section concerning the use of images can be included in the document.<\/p><p>However, it is important for the authorization to be worded clearly.<\/p><p>Members must be able to understand <strong>for what purposes images may be used and through which channels they may be published<\/strong>, such as the association\u2019s website, social media or promotional materials.<\/p><p>When activities involve minors, even greater care must be taken regarding how authorization is collected and who is legally entitled to provide it.<\/p><p>For this reason, it is preferable to keep the photo\/video authorization clearly separate from the declarations that are strictly necessary for participating in the event.<\/p><p>In other words, digitizing a form does not mean combining everything into a single acceptance: FastReplySignature makes it possible to organize different declarations more clearly.<\/p><h3>\u00a0<\/h3><h3>Management software for members, deadlines, fees and medical certificates<\/h3><p>FastReplySignature effectively handles the <strong>completion, signing and storage of documents<\/strong>, but an ASD also needs to manage the day-to-day status of its members.<\/p><p>For this second requirement, the association chose <strong>AquaDivePro<\/strong>.<\/p><p>AquaDivePro was developed with a strong specialization in diving associations and diving schools, but its member-management features also proved suitable for the needs of this ASD, even though it is not a diving school.<\/p><p>The management software is used to keep track of information such as:<\/p><ul><li>member details and status;<\/li><li>annual membership registration;<\/li><li>membership fee payments;<\/li><li>deadlines;<\/li><li>status and expiry dates of medical certificates;<\/li><li>other information required for the association\u2019s day-to-day management.<\/li><\/ul><p>In particular, being able to check the status and expiry date of a medical certificate without necessarily storing more health information than is actually required can contribute to more orderly management consistent with the principle of data minimization.<\/p><h3>\u00a0<\/h3><h3>FastReplySignature and AquaDivePro: two complementary tools<\/h3><p>An interesting choice made by this ASD was not to look for a single piece of software that could do everything, but instead to use each tool for what it does best.<\/p><p><strong>FastReplySignature<\/strong> is used when a document needs to be prepared, completed, signed and stored digitally.<\/p><p><strong>AquaDivePro<\/strong>, on the other hand, is used as management software to keep the member\u2019s current status under control.<\/p><p>The two software solutions also have an integration that automatically transfers the information entered in the membership application into AquaDivePro, avoiding the need to manually copy or re-enter the data and further reducing administrative work.<\/p><p><strong>The result is a much more streamlined process.<\/strong><\/p><h3>\u00a0<\/h3><h3>From the membership application to the member\u2019s day-to-day activities<\/h3><p>The workflow can be summarized as follows:<\/p><p><strong>1. Membership application<\/strong><\/p><p>The applicant receives the link to the application, completes it and signs it online with FastReplySignature.<\/p><p><strong>2. Verification by the ASD<\/strong><\/p><p>The association checks the application received by email and completes the admission procedure established by its bylaws. Since all members of the Board of Directors have access to the same mailbox, the application reaches the entire board at the same time, helping to simplify and speed up the process.<\/p><p><strong>3. Member management<\/strong><\/p><p>The information required for routine management is organized in AquaDivePro. All applicants are stored automatically; if an application is not accepted, the applicant can simply be deleted from the software or marked as suspended or rejected.<\/p><p><strong>4. Fees and deadlines<\/strong><\/p><p>Administrative staff can more easily check annual membership registration, fees, deadlines and medical certificates.<\/p><p><strong>5. Participation in events<\/strong><\/p><p>When an event is organized, members can receive the FastReplySignature form in two ways: through a link sent to all members, allowing them to complete the document, or directly through AquaDivePro, which sends a personalized document with the member\u2019s information already pre-filled because it is already stored in the database.<\/p><p><strong>6. Optional photo and video authorization<\/strong><\/p><p>The form can clearly and separately collect the necessary authorizations for photographs and video recordings.<\/p><p><strong>7. Documents always available<\/strong><\/p><p>Signed forms remain stored digitally and can be retrieved whenever necessary.<\/p><h3>\u00a0<\/h3><h3>Less paper and more time for the association<\/h3><p>For many ASDs, administration is handled by only a few people and, very often, by volunteers.<\/p><p>Every avoidable administrative task therefore represents time that can instead be devoted to sport, members and organizing activities.<\/p><p>A digital process can reduce:<\/p><ul><li>printed forms and paper folders;<\/li><li>photos of documents received via WhatsApp;<\/li><li>attachments scattered across email inboxes;<\/li><li>manual data entry;<\/li><li>searches through paper documents;<\/li><li>repetitive deadline checks.<\/li><\/ul><p>The most important advantage is not simply \u201chaving less paper.\u201d<\/p><p>It is knowing <strong>where a document is and what a member\u2019s current status is when that information is needed<\/strong>.<\/p><h3>\u00a0<\/h3><h3>A useful solution even for small ASDs<\/h3><p>Digitalization is not only for large associations.<\/p><p>In fact, an ASD with only a few people handling administration may benefit even more from eliminating repetitive tasks that take up time every week.<\/p><p>A membership application can be submitted online.<\/p><p>Registration for an event can be completed from a smartphone.<\/p><p>Photo and video authorization can be collected together with the event form while remaining clearly identifiable.<\/p><p>Fees and deadlines can be checked through the management software.<\/p><p>And signed documents no longer have to be searched for inside a paper folder.<\/p><h2>\u00a0<\/h2><h2>FAQ on digital management of an ASD<\/h2><h3>Can a membership application be completed online?<\/h3><p>Yes. The application can be prepared as a digital document, completed and signed online. However, the admission procedure established by the individual association\u2019s bylaws must still be followed.<\/p><h3>Does signing the application automatically make someone a member?<\/h3><p>Not necessarily.
